We have used an existing platform for the joint editing of documents regarding project administration, so that all participants from research, consulting, and administration could always access the current version.
Objective
Develop solutions for EU project administration.
Activities
Closed groups for projects are set up on the learning platform. All participants involved in a project from research, consulting, and administration are given access to the corresponding group. New file versions are documented and an archive is created automatically.
The research service sets up the group and provides the documents: calculation schemes, project documents, contracts. From the kick-off meeting onwards, the research service also takes on advisory tasks. The responsible persons from the finance department enter personnel costs and other costs, the researchers check and supplement these with the documented working hours and the corresponding work packages.
The project group then serves as the basis for internal controlling and for financial reports in the EU portal, and, if necessary, for reports to the project coordination or external audits.
Depending on requirements, researchers can also use these groups to work on documents together.

Success/experience
The collaborative processes of EU project administration have been improved and overall project administration has been simplified by this measure.
